  • Job Summary:

    TheOGE Technology Specialist and Database Administrator will be responsible for the technology, database and operational support for the Office for Global Engagement (OGE), including, but not limited to Learning Abroad (LA) and International Student and Scholar Services (ISSS) offices. This position leads the technology-based projects to continually streamline and modernize the OGE experience for clients and staff, including UAtlas and related systems, in order to enhance student, scholar, and staff experience as well as encourage retention and alumni engagement.

    This position liaises with a wide array of university units such as OGE, LA, ISSS, University Information Technology (UIT), and the English Language Institute (ELI) to handle student/scholar/faculty processes. As liaison, this position is responsible to increase shared understanding with these units, clarify responsibilities, reduce redundancy or processes, troubleshoot data issues, and increase mutual responsibility among clients. Additionally, this position works with the university wide community to increase communication and collaboration across campus. With support from other IT staff, this position will ensure optimal data integrity and utilization of data to support OGE operations and OGE’s strategic vision.

    Qualifications:

    Requires a bachelor’s degree in a related area or equivalency and 2-4 years of experience in the field or in a related area.

    Responsibilities:

    This position oversees the use of data automation and data analysis techniques in order to address regulatory requirements of SEVIS. This position is responsible for identification and implementation of technical solutions to address issues discovered through data analysis and will be in charge of providing upper tier technical support for escalated issues. This position will work with OGE and UIT to monitor and enhance information security and storage, as well as oversee major system features such as checklists, templates, e-forms, standardized and custom reports, batching, and more to support OGE office needs.

    Manages Terra Dotta. Coordinates application cycles, application process elements, creation of new programs and processes, and other software components. This position works with leadership to ensure that Terra Dotta needs and functionality are considered in decisions, timelines, and prioritization and ensures that the look and feel of software complies with Learning Abroad and OGE branding. This position works to integrates various technology functions and platforms into office operations in consultation with the leadership and consults with users and staff to identify current operating procedures and to clarify program objectives.

    • Serves as a member of the OGE leadership team and assists in the development, implementation, and assessment of the OGE mission; fulfills interim roles as needed by Director
    • Oversees Sunapsis and/or Terra Dotta Database, including ensuring regulatory compliance and data integrity, project implementation and management, in-office training, and system testing.
    • Ensure (build, maintain, troubleshoot, etc.) the Sunapsis and/or Terra Dotta software system to be optimized for services to students, support advisors, and interface with other campus databases.
    • Meets frequently with OGE area leaders (Director, Associate Directors, and Coordinators) to assess and identify areas needing improvement or troubleshooting to increase efficiency and functionality of the system for each department
    • Manages, designs, and creates secure batching of data from Sunapsis and/or Terra Dotta to SEVIS system, as well as ensures accurate data feeds from the PeopleSoft system
    • Provides business functional expertise for using Sunapsis and/or Terra Dotta to process student, scholar and department requests for OGE services
    • Develop training methods and materials for OGE staff as well as training for staff/faculty partnering university departments
    • Addresses and resolves student, department, and staff technical issues
    • Provide technical support and back up for the OGE website
    • Provide technical support for global programs that include database and software tool utilization.
    • Provide support for the Global U inventory, including integrity of data inputs, software upgrades, and creation of additional features as designed requested by the Executive Director
    • Do research and provide assessments on software tools as required.
    • Oversees creation and maintenance of Sunapsis and/or Terra Dotta e-forms, alerts, and checklists to efficiently gather needed information essential to providing OGE services
    • Works with University partners to develop Sunapsis and/or Terra Dotta web-based services and database technology to enhance I-20 & DS-2019 form processing, communication, procedures, system upgrades, testing, and overall efficiency in OGE advising and processing
    • Provide daily technical and production support, monitor updates and upgrades, identify critical issues, liaising as needed with vendors and OGE staff to ensure compliance
    • Will supervise any additional technical staff that may be needed
    • Oversees all tasks related to the efficient and accurate transfer of data from the office of Admission between SEVIS and PeopleSoft
    • Onboard new employees and provide training on the relevant systems and databases
    • Serve on campus committees related to Sunapsis, Terra Dotta or other OGE data issues and serves as point person additional departments (International Admissions and ELI) implementing or integrating Sunapsis and/or Terra Dotta, including managing the overall configurations for the University’s use of Sunapsis and/or Terra Dotta
    • Monitors best practices in the field to advise on software usage and improvements, coordinates, develops, and executes Terra Dotta training program for all users, creates handouts, quick references, and guides for users, and demonstrates ability to self-train and learn new software as needed

    Preferences:

    • Masters degree in a relevant field
    • Previous experience in an advising, counseling or teaching environment
    • Experience working in Higher Education
    • 3 + years’ experience as a DSOand knowledge of USCIS regulations pertaining to F and J visa holders
    • Familiarity with Sunapsis, Terra Dotta, SEVIS, and Peoplesoft
    • Knowledge of SQL, Java, and Coldfusion
    • An understanding of student development, student needs, as well as office process and technological needs
    • Experience living, working, or traveling outside the United States

  • Job Summary:

    The Office for Global Engagement currently provides value-added services coordinating, managing, and marketing international initiatives across the UU campus. In support of those activities, and with the intention of expanding our ability to engage in international education work, we are proposing adding a Grant Writer & Administrator to the OGE team. This person would be responsible for developing expertise on the international funding landscape, identifying opportunities and helping to match those opportunities to needs 1) within the OGE offices and 2) in coordination with interested faculty.

    We propose that the Grant Writer & Administrator role be created with a three-year initial contract (renewable after term completion). This person would report directly to the Executive Director, Global Program Development, but would coordinate all opportunities with the relevant entities both within and outside of the OGE offices.

    Qualifications:

    Bachelor’s degree or 8 years of relevant work experience

    Responsibilities:

    The Grant Writer & Administrator within OGE would have the following responsibilities:

    • Perform prospect research on all funding sources to evaluate prospects for obtaining grants and other support including research grants for applicable international education opportunities through all relevant sources including USAID, US State Department, 100,000 Strong in the Americas.
    • Identify potential partners for grant implementation and conduct the full range of activities required to prepare, submit, and manage grant proposals to government, foundation and corporate sources. develop competitive, well-written grant.
    • Create a quarterly calendar of upcoming relevant grant opportunities.
    • Meet with OGE/ISSS/LA leadership to update on opportunities and needs.
    • Work with staff and faculty to regularly submit grant proposals specific to funding for OGE/ISSS/LA initiatives.
    • Outreach to colleagues across campus and in peer institutions for best practices and approaches for specific funders (e.g., Bill and Melinda Gates, USAID, etc.).
    • Develop expertise and database on faculty interests around specific funding initiatives.
    • Work with other university offices to gather and provide information necessary to report to government/corporate/foundation funders on current grant programs.
    • Provide support for mid- and post-grant awards.
    • Provide grant-writing support for select grants that involve faculty and departments outside of OGE.
    • Provide stewardship to current donors, including cooperating with all relevant university offices to provide regular written updates (newsletters etc.) to donors.
    • Track statistics relevant to development and provide department with written materials necessary for donor stewardship (visitor number and diversity, educational program attendance, etc.).
    • Assist with other fundraising projects as requested.

  • Job Summary:

    As part of OGE’s drive to engage our international student population throughout the student-alumni lifecycle, OGE has identified the need for a dedicated International Alumni Relations Officer who can take on the full-time role of outreach, communication, engagement, and fundraising with our international alumni.

    There are multiple potential benefits from creating this position with the Office for Global Engagement:

    • Leveraging a community of alumni that heretofore have had minimal engagement from the U.
    • The opportunity to work closely with international students through ISSS, connecting them with alumni from their respective countries. This has the additional benefit of extending networking and eventually recruiting assistance by engaging our existing alumni with potential recruits and incoming students.
    • Connecting international alumni with faculty traveling internationally for research and conferences. Stronger connections with our international alumni will also enable us to identify opportunities for international internships, mentoring and post-graduation employment opportunities.

    We propose that the International Alumni Relations Officer role be created with an initial three-year appointment with the possibility of renewal. This person would report directly to the Executive Director, Global Program Development and would work closely with both central OGE and the Director for ISSS. Additionally, the International Alumni Relations Officer would also connect with the UU Central Alumni office and peers through regular quarterly meetings as scheduled by the Chief Alumni Officer.

    Qualifications:

    Bachelor’s degree in Marketing, Communications, Business, related field, or equivalency (one year of education can be substituted for two years of related work experience); three years of fund-raising experience which includes direct solicitation of contributions, volunteer leadership support, written and verbal presentations, and strategy and market development are required. Demonstrated human relations and effective communication skills required. Experience in grant or proposal writing and a background working with local print and electronic media is preferred. Demonstrated negotiating skills are also preferred.

    Responsibilities:

    The International Alumni Relations Officer within OGE would have the following responsibilities:

    • Utilize the UU’s alumni database to understand the landscape regarding international alumni, including those alumni who are residing in the U.S.
    • Working with Executive Director for Global Program Development and ISSS, develop the following:
      • Strategy for improving the capture and updating of international alumni data (updated email, cell phone, and social media handles/groups).
      • Yearly goals for outreach, activities, and fundraising.
      • Communications strategy and detailed implementation plan
        • Target countries and strategy per country
        • Key messaging drawn from both OGE sources and UU colleges and departments.
        • Calendar for targeted communications with international alumni around key holidays, country-specific messaging (e.g., recognition of national events that could affect alumni – expressions of support, etc.)
        • Managing and logging all international alumni communications in the Alumni Database through the designated contact report system.
        • Creating regular reports on communications and goals for OGE management.
      • Engage with departments across campus to improve awareness of our international outreach and to coordinate elements such as alumni messaging (updates from departments) and international event participation. Examples would include alerting international alumni when UU faculty are presenting at international conferences, or traveling in-country on faculty-led study abroad programs.
      • Coordinate strategies and initiatives with the U Asia Campus Director of External Relations to ensure consistent policies and communications.
      • In coordination with UU Central Development, create campaigns to raise funds from US-based international alumni toward agreed-upon goals.
